The 16th annual Fall Heritage Festival is coming Friday September 8th and 9th, 2023.  Our first 2-day Festival!
Vendor registration opens officially on Friday, June 16th
Early Application deadline is August 11th.

Fall Heritage Festival Vendor Guidelines and Policies


  • The Festival will be held rain or shine. Vendor fees are not refunded unless the festival is cancelled.
  • Set up
    • Please note: Staff may or may not be present at set up times but vendor spaces will be labled and vendors will be sent a placement chart in advance of the event.
    • Friday-only vendors: 
      • Set up can begin at 9:00 am on Friday
      • The Festival opens at 3:00pm - vendors must be set up and ready then.
      • Festival closes at 9:00pm friday night - vendor must remove all their items and leave a clean space before 11:00pm Friday night
    • Saturday-only vendors:
      • Set up can begin at 6:00 am on Saturday morning.  
      • The Festival opens at 9:00am - vendors must be set up and ready then
      • Vendors must stay at least until 4:00pm unless completely sold out of product.
    • Both-Day Vendors: 
      • Set up can begin at 9:00 am on Friday
      • Festival closes at 5:00pm Saturday - vendors must remove all their items and leave a clean space before 8:00pm Sturday night.
      • There is no formal security overnight.  However, the grounds are under 24hour video surveillance and we invite vendors to camp in tents or small RV’s “boondock style” in the parking area.  We will also ask our local law enforcement to drive through a few times during the night.  That said, we are not responsible for lost or stollen merchandise our other belongings. We ask that out vendors keep careful inventory, and secure any items being left overnight to the best of their ability.
  • Staff will arrive at approximately 9:00 am on Friday and 7:00am on Saturday 
  • Spaces will be marked in advance.
  • There will be no refund of fees due to bad weather or cancellations by the vendor, but you may deduct your fee as a donation to Homeplace, a 501(c)(3) organization. 
  • Parking is free for all vendors.
    • After unloading near their vending area, vendors and demonstrators will have assigned parking areas as close to their vending area as is practical.​​

Craft Vendors

  • Each vendor will have a pre-designated approximately 12x12 foot vending space marked in advance with a name card for the vendor.
  • All vendors must set up in their designated space.
  • Booths for nonprofits are half-price (Tobacco Barn spaces are not available for demonstrators or non-profits)
  • Spaces are first come, first serve.​
  • Vendors preferring lawn spaces may bring their own tents.
  • Homeplace does not provide tables or chairs to vendors
  • Vendors must set up before the festival starts and remain until closing time
  • Silent Auction:
    • Our festivals are fundraisers for our organization.  We humbly, and respectfully ask our vendors to consider making a donation of a product or collection of products equaling a maximum value of $25 to be entered into a silent auction to support Homeplace on Green River. Items will be displayed in the metal building near Homeplace merchandise and can be bid on over the event.  If making a donation, please bring your item to the metal building at least 30 minutes before the festival opens that day.
    • There is no fee for demonstrators, but we do prefer a completed registration form and would be honored to receive a donation item for our auction.
  • Sales restrictions:
    • Original/handmade arts and crafts only, (no resale items)
    • The sale of food or water is restricted to food vendors (candy, jams, and jelly or other take-home edible items are OK)
    • Live plants may be sold if nicely potted and identified with growing instructions.

Food Vendors

  • We prefer that Food Vendors be in the “food court” in their designated space unless a different location has been worked out with the Program Director.
  • Spaces are first come first served and will be marked with flagging the day before the event.
  • Spaces are to be set in “staggered” positions so that guests have a visual of all the options available (See diagram on the website).
  • If possible, trailers should be backed into the spaces so that the tongues face away from the food court area to avoid people bumping them and possible injury.

  • Volunteer Meal Tickets
    • Volunteers for our event will be given meal tickets to use at the food vendors.  
    • Food vendors are NOT OBLIGATED to accept tickets and may decline. 
    • Each ticket will be worth $10 and is not exchangeable for cash.  
    • Tickets can be used to purchase items of $10 or less, and may only be used once.  
    • Change is not to be given by the vendor.  
      • For example, if a food item is $8, the vendor will take 1 ten dollar ticket and give no change.  If the item is $12, the vendor will require the ten-dollar ticket as well as 2 more dollars from the volunteer.  At the end of the day, the program director will collect tickets from the food vendors. Reimbursement via check will be mailed the following week.
      • Our festivals are fundraisers for our organization.  We humbly, and respectfully ask our food vendors to consider donating a portion of reimbursement for volunteer meal tickets to Homeplace. This is completely optional, and food vendors are under no obligation to do so.

  • Vendor registrations and payments can be submitted online payment with a small processing fee, or applications can be mailed with a check made to Homeplace on Green River.  If you need to make other arrangements please contact director@homeplacefarmky.org or call 270.789.0006
If you register but do not qualify for vending, the processing fees for online transactions will NOT be refunded to you.  Please make sure your items qualify for sale.  Fall Heritage Festival only hosts vendors of handmade/homegrown/homemade items.  NO RESALE/DIRECT SALES items.
